What Budget Management Means
Budget management helps your team control spending by setting limits for each location.
In simple terms:
- You set a yearly budget for a location.
- You can also set monthly amounts if needed.
- Orders are checked against available budget before final processing.
Where to Manage Budgets
In the app, go to:
- Locations
- Open a location
- Go to Budgets
From there, authorized users can create, edit, or remove budget entries.
How Budgets Work
- Each location has budget entries by year.
- Yearly amount is required.
- Monthly amounts are optional.
- One location can have only one budget per year.
If monthly amounts are used, the system checks spending by month as well.
Who Can Edit Budgets
- Company Admin: can manage budgets for all locations.
- Budget Admin: can manage budgets for assigned locations.
- Other roles can usually view budget information but cannot edit it.
How Budget Checks Affect Orders
When someone works with an order, the system checks if it is within budget.
Users may see:
- Budget Exceeded
- Yearly Budget Exceeded
- Monthly Budget Exceeded
If an order is over budget, some actions may be restricted based on role and rules.
Budget Charts on Dashboard
The dashboard shows budget visibility through charts such as:
- budget versus spending for a location
- budget versus spending across locations
These charts help users quickly understand:
- how much budget is planned
- how much is already spent
- which locations need attention

- Set yearly budgets before active ordering starts.
- Update budgets when business needs change.
- Review budget charts regularly.
- Keep location assignments correct so access and checks work properly.
